These terms are an agreement between SundayHQ and the church or organization that opens an account (“you”). By signing up for or using SundayHQ, you agree to them. Please read them alongside our Privacy Policy.
SundayHQ provides church-management software — tools for people, giving, kids check-in, service planning, communications, groups, events, and related features. We provide the software; you are responsible for how your church configures and uses it, and for the information you put into it.
You are responsible for your account, for the staff and volunteers you invite, and for the roles and permissions you assign them. Keep sign-in credentials confidential and tell us promptly if you suspect unauthorized access. You must provide accurate account information, and each staff login is for one church.
Online giving and paid-event collection run through your church's own payment account with Helcim, which you connect. Donated and event funds settle directly to your account. SundayHQ is software only: we do not hold, transmit, or take a share of those funds, and we are not a party to the payment relationship between you, your donors, and Helcim. Your use of Helcim is governed by Helcim's own terms. You are the merchant of record for your giving and responsible for handling refunds, chargebacks, and disputes.
Donation receipts produced in SundayHQ are issued by your church as the registered charity or tax-exempt organization— you are the legal issuer, and your registration number, legal name, and authorized signatory appear on each receipt. You are responsible for the accuracy of the charity details you enter and for compliance with CRA (Canada) or IRS (United States) receipting rules. SundayHQ provides the software that generates receipts and is not the issuer of, and takes no responsibility for, any receipt's tax validity.
As between you and us, the information your church puts into SundayHQ is yours. You grant us the limited rights needed to host and operate the service on your behalf, as described in our Privacy Policy. You are responsible for having the right to collect and use that information — including any consents your congregants, volunteers, and children's guardians require — and for using communications features in line with anti-spam and telemarketing laws (such as CASL and CAN-SPAM). You can export your data at any time.
You agree not to:
Parts of SundayHQ let members post content — messages, group chats, and replies. We have zero tolerance for objectionable content or abusive behavior: content that is unlawful, harassing, threatening, hateful, sexually explicit, or that targets minors. Every message can be reported in the app, reports are reviewed and acted on within 24 hours, and users can block anyone at any time. We (and church moderators) may remove content and suspend or eject offending users without notice.
We work to keep SundayHQ available and reliable, but the service is provided on an "as is" and "as available" basis without warranties of uninterrupted or error-free operation. We may modify or improve features over time; we will not make a change that materially reduces a core paid capability without notice.
SundayHQ relies on third-party providers (including Convex, Vercel, Clerk, Stripe, Helcim, Resend, Twilio, and PostHog) listed in our Privacy Policy. Your use of connected services you set up yourself — such as your Helcim account — is governed by those providers' own terms.
To the fullest extent permitted by law, SundayHQ and its suppliers are not liable for indirect, incidental, special, or consequential damages, or for lost data, revenue, or donations, arising from your use of the service. Our total liability for any claim relating to the service is limited to the amounts you paid us for the service in the twelve months before the claim. Nothing in these terms limits liability that cannot be limited by law. SundayHQ is not a payment processor, tax advisor, or legal advisor, and the software does not replace professional advice on charitable receipting, screening, or privacy compliance.
You agree to indemnify SundayHQ against claims arising from your misuse of the service, your content, or your breach of these terms or of applicable law — including claims relating to communications you send or information you collect.
You may stop using SundayHQ and cancel at any time. We may suspend or terminate an account that violates these terms or the law, or where required to protect the service or other users, with notice where practicable. On termination you may export your data for a reasonable period.
We may update these terms; material changes will be reflected in the "last updated" date and, where appropriate, communicated to account owners. Continued use after a change means you accept the updated terms.
These terms are governed by the laws of the Province of Alberta and the applicable laws of Canada, without regard to conflict-of-laws rules. Nothing here deprives a consumer of rights they cannot waive under the law of their home jurisdiction.
